Senior Research Administration Adviser

Location of work: GreenHer Central Office, University of Ljubljana

Type of position: This is a 100% appointment. 

Work description: The successful candidate will provide administrative and professional support to researchers throughout the research project lifecycle, from proposal development and submission to project implementation, financial monitoring, reporting, and project closure. The successful candidate will:

  • Provide administrative and professional support in the preparation and submission of applications for national and international research and development funding programmes, including ARIS and EU calls.
  • Manage research and development projects funded by ARIS, EU, the Structural Funds, and other national and international funding bodies.
  • Independently coordinate administrative and financial tasks before, during, and after the implementation of research and development projects.
  • Monitor project budgets, expenditure, contractual obligations, eligibility of costs, and compliance with the rules and requirements of funding bodies.
  • Prepare financial reports, supporting documentation, and other reports required by project funders.
  • Assist researchers with project applications, implementation procedures, reporting requirements, and the interpretation of funding rules.
  • Monitor calls for proposals and funding opportunities in the field of research and development.
  • Maintain records and databases relating to research activities, publications, citations, projects, and funding.
  • Prepare internal reports for the management of the GreenHer Centre of Excellence, including annual reports, financial analyses, and statistical information on research and development activities.
  • Coordinate and communicate with researchers, university and institutional support services, funding bodies, auditors, and external project partners.
  • Carry out promotional and presentation activities related to the Centre’s research and development work.
  • Use the SAP information system and other institutional tools for financial and project administration.
  • Perform additional administrative and organisational tasks required for the operation of the GreenHer Centre of Excellence, as assigned by the Central Office Manager or the Centre Director. 

Required Qualifications: Applicants must have:

  • Master’s degree (Second-cycle Bologna degree or equivalent).
  • At least three years of relevant professional experience in a comparable field.
  • Excellent command of English.
  • Excellent command of Slovenian (or desire to learn).
  • Proficiency in standard office software and information systems.
  • Advanced Microsoft Excel skills, including data analysis, spreadsheets, and formulas.
  • Knowledge of the SAP information system.
  • Strong communication and organisational skills.
  • Ability to work independently, manage multiple deadlines, and collaborate effectively with researchers and administrative teams.

Desirable Experience: Experience with some of the following is considered an advantage:

  • Administration and financial management of national or international research and development projects.
  • Experience with ARIS, Horizon Europe, European Union, Structural Funds, or other publicly funded projects.
  • Basic knowledge of accounting, budgeting, and financial terminology.
  • Ability to analyse and interpret financial data.
  • Experience in preparing financial and management reports.
  • Familiarity with project audits, eligibility rules, contractual requirements, and reporting procedures.
  • Experience of working in a university, research institution, or other knowledge-based organisation. 

Salary: The starting salary is €2.810 (pre-tax). As a public employee you will be entitled to a summer and a Christmas bonus.

Administrative Coordinator  

Location of work: GreenHer Central Office, University of Ljubljana

Type of position: This is a 100% appointment. 

Work description: The successful candidate will provide administrative, organisational, and operational support to the Centre’s management, researchers, staff, and external stakeholders, ensuring the efficient day-to-day operation of the GreenHer Centre of Excellence. The successful candidate will:

  • Manage incoming and outgoing correspondence, maintain official records, and organise business documentation and archives.
  • Provide administrative support to researchers, employees, students, and external collaborators, including preparing documentation, coordinating administrative procedures, and maintaining relevant records.
  • Assist with onboarding and training of new staff members.
  • Coordinate meetings, schedules, room bookings, and prepare agendas and minutes for meetings and committees.
  • Support financial and procurement processes by preparing purchase orders, processing invoices, monitoring office supplies, and entering data into institutional information systems.
  • Assist in organising conferences, workshops, meetings, and other events, and contribute to communication activities, including website updates, social media content, and internal communications.
  • Support research data management by assisting with data entry, organisation, long-term preservation, and compliance with Open Science principles and research data management standards.

Perform additional administrative and organisational tasks required for the operation of the GreenHer Centre of Excellence, as assigned by the Central Office Manager or the Centre Director. 

Required Qualifications: Applicants must have:

  • Master’s degree (Second-cycle Bologna degree or equivalent).
  • Relevant professional experience in administration or organisational support.
  • Good command of English.
  • Good command of Slovenian (or desire to learn).
  • Proficiency in standard office software and computer applications.
  • Strong organisational, communication, and interpersonal skills.
  • Ability to work independently and as part of a multidisciplinary team.

Desirable Experience: Experience with some of the following is considered an advantage:

  • Experience with work in higher education or research institutions, or publicly funded projects.
  • Knowledge of the SAP information system.
  • Advanced Microsoft Excel skills, including data analysis, spreadsheets, and formulas.
  • Experience in organising meetings, events, or conferences.
  • Familiarity with research administration, Open Science practices, or research data management.
